
Terms & Conditions
1. INTRODUCTION. This contract is formed between you (referred to in these Terms & Conditions as "the Customer") and Wedding Video Essex LTD once the Booking Fee (minimum 50%) has been received. The "Product or Service" shall mean any product or service provided by Wedding Video Essex LTD to the Customer. These conditions do not affect your statutory rights.

2. SUPPLY. Wedding Video Essex LTD agrees to supply the Product(s) or Service(s) to the Customer as detailed in the order and in accordance with the terms and conditions of this contract.

3. RIGHTS RESERVED. Should Wedding Video Essex LTD choose not to enforce any or all of these conditions, it shall not be interpreted as a waiver of any of the Company’s rights. By placing an Order with Wedding Video Essex LTD, the Customer accepts these terms and conditions.

4. PAYMENT. Wedding Video Essex LTD shall issue an invoice to the Customer for the Product(s) or Service(s) supplied or to be supplied, with payment terms stipulated on the invoice. A 50% booking fee is required at the time of booking. Full payment is required no later than 30 days before the wedding date. Accepted payment methods include Bank Transfer, Credit Card, and Debit Card. We process all payments through a secure online portal.

5. HEALTH & SAFETY. Both parties shall comply with all relevant Health & Safety regulations throughout the duration of services being provided.

6. CREATIVE BRIEF. Unless otherwise agreed in writing, the Customer entrusts Wedding Video Essex LTD with creative control. This includes all elements detailed within the invoice. Some services may not be possible due to time constraints, weather, venue restrictions, or other limiting factors. We include TWO REVISIONS of the final product free of charge. Additional edits beyond this are charged at £50 per hour.

7. BOOKING FEE/CANCELLATION. Monies paid by the Customer to reserve the Product(s) or Service(s) will be accepted as a non-refundable Booking Fee. If cancellation occurs less than 6 months before the event, the Customer will be liable for the full invoice total, minus the Booking Fee. If cancellation occurs with more than 6 months' notice, the Booking Fee will be held as a credit note for a future booking. Wedding Video Essex LTD will make reasonable efforts to accommodate date changes.

8. LIABILITY. Wedding Video Essex LTD accepts no liability for loss or damage beyond the total value of the invoice or amount already paid by the Customer. We employ robust data protection protocols including dual local backups, offsite backup, and cloud backup via Amazon AWS. In the rare event of technical failure (e.g. corrupt memory cards, equipment malfunction, data loss), Wedding Video Essex LTD will make reasonable efforts to recover footage. However, the total liability is limited to the amount paid by the Customer for the affected product(s) or service(s).

9. COPYRIGHT. Unless otherwise stated, Wedding Video Essex LTD retains full copyright of all original materials including videos, graphics, music, and artwork. Customers are responsible for obtaining permissions for any copyrighted material they supply. All music must be original and legitimately owned. We retain the right to use finished materials for promotional purposes unless explicitly agreed otherwise.

10. DATA PROTECTION. It is the Customer's responsibility to ensure that all necessary permissions are obtained from individuals appearing in the footage. Wedding Video Essex LTD reserves the right to use excerpts from the final product for promotional purposes across websites, social media, and third-party platforms.

11. CARE OF CUSTOMER PROPERTY. While all care is taken, Wedding Video Essex LTD cannot be held liable for damage or loss of client materials. Liability is limited to the cost of replacement media, not the content itself.

12. RIGHT OF ASSIGNMENT. Wedding Video Essex LTD reserves the right to assign work to another qualified team or professional in cases of illness, scheduling conflict, or unforeseen circumstances, and a suitable and trusted replacement will always be arranged. Wedding Video Essex LTD operates as a full team of wedding professionals, and booking the company does not guarantee the attendance of any specific individual on the day. In some cases, members of our trusted network of freelance professionals may be assigned to film or photograph on behalf of the company. All freelance personnel are trained by our team and follow the same standards, style, and working methods as our in-house team

13. CONFIDENTIALITY. Both parties agree to treat all project-related information and production methodologies as strictly confidential unless agreed otherwise in writing.

14. CUSTOMER MATERIAL. All raw footage or client-supplied material will be destroyed 21 days after delivery of the final product. No additional edits or backups will be available after this date.

15. FORCE MAJEURE. We are not liable for failure to deliver services in the event of natural disasters, road accidents, venue restrictions, terrorist activity, or other unforeseen events beyond our control. Wedding Video Essex LTD will plan a reasonable travel time and contingency time. However, no liability will be accepted for delays caused by road closures, accidents, or traffic conditions beyond our control. Wedding Video Essex LTD uses multiple cameras and audio devices. Should equipment fail without warning during the event, all reasonable steps will be taken to continue coverage with backup equipment.

16. BEHAVIOUR. We maintain a zero-tolerance policy on abusive or disrespectful behaviour. This includes racism, sexism, homophobia, physical intimidation, or aggressive language. If staff are mistreated, they will be instructed to leave, and no refund will be issued. The same applies if a guest misbehaves and is not removed when requested. If guests create unsafe conditions through excessive alcohol consumption or disorderly behaviour, Wedding Video Essex LTD may pause or cease coverage without refund.

17. REFRESHMENTS & ACCOMMODATION. The Customer agrees to provide suitable changing facilities, food, and drinks to any team member working over 6 hours. For bookings outside of a 75-mile radius, hotel accommodation will be required for each team member.
Wedding Video Essex LTD requires short meal breaks during the day. These breaks do not count toward the agreed coverage time. Key events should not be scheduled during these breaks, and Wedding Video Essex LTD is not liable for any moments missed during this time.

18. WORKING WITH US. We generally provide two videographers from morning prep through to the first dance. Our usual deliverables include a highlight film, a cinematic film, and full coverage of the ceremony, speeches, cake cutting, and first dance.
​
We do not supply raw or unedited footage. A Documentary Edit is available at £199 pre-wedding / £399 post-wedding.
Editing times vary by season. Delivery can take up to 18 weeks during peak periods (July–Nov).
We offer an optional "VIP Edit Queue" for faster turnaround of approximately two weeks.

A key contact (e.g., best man or coordinator) should be appointed for smooth communication. The Customer agrees to notify our team in advance of key events. Live weddings are subject to unavoidable restrictions (space, time, movement, venue rules, etc.), and we cannot guarantee coverage of every moment. While every effort is made to capture important moments, Wedding Video Essex LTD cannot guarantee the capture of any specific individual, moment, or detail.
Delays caused by the Customer or the event running significantly behind may affect the quantity or quality of footage captured. Wedding Video Essex LTD will not be held liable for missed moments as a result of a delayed schedule. Only the Customer or the appointed key contact may request specific content on the day. Wedding Video Essex LTD is not obligated to follow instructions from guests, venue staff, or third parties. The Customer is responsible for providing an accurate timeline and notifying the team of any changes. Wedding Video Essex LTD is not liable for missed moments that occur due to changes not communicated in a timely way.

Our drone pilots are CAA A2 Certified and fully insured. Drone usage may be restricted by weather, airspace regulations, or venue policies. It is the Customer’s responsibility to confirm with the venue that videography and photography are permitted and that there are no restrictions (including drone use). Wedding Video Essex LTD is not liable for footage or access lost due to venue-imposed limitations.

19. PHOTOGRAPHY. If the Customer has booked a Photo and Video Package, this includes an additional team member dedicated to photography and an online gallery featuring a minimum of 300 professionally edited photos. Wedding Video Essex LTD provides bridal prep to first dance coverage, a mix of posed, candid, and documentary style shots, all images in high resolution and watermark free, a private online gallery with full download access, and a licence for personal use and printing.
The total number of photos delivered is dictated by the natural flow of the day, the number of guests, the available time, and the number of family and friends portraits requested. All final images are professionally edited and supplied within the online gallery, and raw or unedited files are not supplied. Weather conditions, venue rules, restrictions, and timeline delays may affect the total number of images captured and delivered.
Unless stated otherwise, all images remain the copyright of Wedding Video Essex LTD, and images may be used for promotional purposes unless agreed in writing.

20. LIVE STREAMING. For live stream bookings, the client must provide a minimum 10MBPS upload speed via a secure connection. We are not responsible for stream disruptions caused by poor connectivity or third-party platform copyright enforcement.

21. GUEST MESSAGE VIDEO BOOTH. Our booth is available during the Drinks Reception and Evening Guest Arrival. While our team encourages participation, we cannot guarantee recordings. There is no minimum or maximum number of videos.

Any guest-caused damage to the booth is the client's liability. The booth is indoor-use only, fully PAT-tested and insured.

22. MUSIC LICENSING. We offer licensed music through select libraries if the Customer does not have specific requests.
​
23. DELIVERY FORMAT & STORAGE. Final deliverables will be delivered via a secure online platform. Download links will remain active for 24 months after delivery. After this time, a reactivation fee of £49 may apply. We recommend all files be downloaded and backed up by the Customer within this time.

24. SOCIAL MEDIA & FEATURE USE. Wedding Video Essex LTD reserves the right to submit wedding content for publication or features in online blogs, wedding directories, or print magazines, unless the client explicitly opts out in writing prior to the wedding. Wedding content may also be used for marketing purposes, including but not limited to social media, websites, advertising materials, and portfolio displays. When sharing content publicly, Wedding Video Essex LTD typically uses first names only in order to limit individual tracking and protect client privacy, unless otherwise agreed.

25. PRE-EVENT MEETING. The Customer agrees to a pre-wedding planning call or meeting (in-person or virtual) to go over logistics, schedule, and creative vision. This typically takes place 1 month before the wedding date.

26. TRAVEL & PARKING EXPENSES. Any parking charges, congestion charges, tolls, or unavoidable transport expenses incurred as part of fulfilling this booking will be added to the final invoice unless previously included in the package price.

These Terms & Conditions form the basis of the agreement between the Customer and Wedding Video Essex LTD.
